Tour & Trek Date Change Policy Last Updated: May 2026

Entity Definition and Application The domain name thetravelfoot.in (and its subsequent extensions, hereinafter referred to as the “Website”) is owned and operated by The Travel Foot Adventures Pvt. Ltd. For the purposes of this Date Change Policy, the Terms and Conditions, Disclaimer, and all associated legal frameworks, “The Travel Foot” (also referred to as “we,” “us,” or “our”) refers collectively to the registered corporate entity, The Travel Foot Adventures Pvt. Ltd., a company incorporated under the Companies Act, 2013, with its registered office at 22, Upper Kolhupani, Chandrawani Khalsa, Pondha Road, Dehradun, Uttarakhand – 248007, India.

At The Travel Foot, we understand that travel plans may change due to unforeseen circumstances. Our date change policy is designed to offer flexibility while ensuring smooth trip operations and compliance with our local transport and hotel partners. Please read the following terms carefully:

1. Requesting a Date Change

  • Travelers can request a date change by submitting a formal written request via email to our official contact at least 15 days before the scheduled departure date.
  • Date change requests made less than 15 days before departure generally cannot be accommodated due to locked vendor bookings and will be subject to our standard Cancellation & Refund Policy.
  • All date changes are strictly subject to operational availability on the preferred new dates.

2. Rescheduling Fees We operate on a structured, time-sensitive fee schedule to cover administrative and vendor adjustments:

  • More than 30 days before departure: Free date change (subject to availability).
  • 15 to 30 days before departure: A nominal rescheduling fee of ₹2,000 per person (or as per the specific tour requirements, depending on the trek/package).
  • Less than 15 days before departure: Date changes are not allowed. Cancellation charges will apply as per the Cancellation Policy.

3. Limitations on Date Changes

  • One-Time Allowance: Each traveler is allowed only one (1) free reschedule per booking, provided it falls within the eligible timeframe. Subsequent changes will incur an additional fee.
  • Restricted Departures: Certain tours, particularly those involving fixed group departures, state-limited permits (e.g., Char Dham, high-altitude border passes), or unique event-based treks, may not allow date changes under any circumstances.
  • Fare Differences: Any price difference between the original booking and the rescheduled dates—arising from seasonal variations, hotel tariff hikes, or updated transport costs—must be paid in full by the traveler prior to confirmation.

4. Force Majeure & Exceptional Circumstances

  • Acts of God: In the event of natural disasters, severe weather blocking routes, pandemics, government lockdowns, or any other force majeure events, The Travel Foot will offer rescheduling options without administrative penalties, subject strictly to operational feasibility. Cash refunds are not guaranteed in these scenarios.
  • Medical Emergencies: Personal emergencies (e.g., severe medical conditions, bereavement) may be evaluated on a case-by-case basis. Appropriate verified documentation (such as a valid medical certificate) must be submitted for consideration.

5. How to Request a Date Change To request a date change, please email us directly at connect@thetravelfoot.in. Ensure your email includes:

  • Your complete Booking ID / Reference Number.
  • The exact preferred new dates.
  • A brief reason for the change.

Our operations team will review your request and respond within three (3) business days. Please note that the new dates are not confirmed until you receive an official revised Quotation and Confirmation from our team.

The Travel Foot reserves the right to modify this policy without prior notice. The policy active at the time of your booking confirmation remains binding.
